Public Records Request

The Selah School District is committed to providing access to public records in accordance with the Washington State Public Records Act (RCW 42.56). We strive to process requests as promptly as possible while protecting records that are exempt from disclosure under state or federal law.

Public records include documents and other records prepared, owned, used, or retained by the District that relate to the conduct of District business.

Members of the public have the right to request access to identifiable public records maintained by the District. Some records, or portions of records, may be exempt from disclosure or redacted as required or permitted by law.

The District provides access to existing public records. State law does not require the District to create new records, answer questions, or compile information in a format that does not already exist.

 


How to Submit a Public Records Request

Requests for student education records should not be submitted through the Public Records Request process. Please refer to student records and transcripts above to submit a request.

You may submit a public records request using the District's Public Records Request Form (Form 4040), although use of the form is not required. A printed copy of the form is also available at the District Office.

Requests may be submitted by:

Office Hours: Monday–Friday, 7:30 a.m. – 4:00 p.m.

To help the District identify the records you are requesting, please provide enough detail to reasonably identify the records you seek.

 

Helpful information may include:

  • The date you are submitting the request
  • Your contact information ( name, address, phone number and email) so we can communicate with you regarding your request
  • A description of the records requested
  • Relevant dates or date range
  • Time or window of time (if applicable) example 8:00am to 8:15am
  • Names of individuals, departments, schools, or locations (if known)
  • The preferred format (electronic or paper)

Please note: During school breaks (including winter break, spring break, and the months of July and August), staffing levels may be reduced. As a result, responses to public records requests may take longer than usual. The District will continue to process requests in accordance with state law. How the District Will Respond

Within five (5) business days after receiving your request, the District will do one or more of the following:

  1. Provide the requested records, make the records available for inspection, or provide a link to the records if they are available on the District's website (unless you notify the District that you are unable to access records electronically).
  2. Acknowledge receipt of your request and provide a reasonable estimate of the time needed to respond.
  3. Acknowledge that the District has received the request, and ask the requestor to provide clarification for a request that is unclear, while providing to the greatest extent possible a reasonable estimate of the time the District will require to respond to the request if it is not clarified; or
  4. Deny the request (although no request will be denied solely on the basis that the request is overbroad).

If records are provided in installments, the District may close the request if an installment is not claimed or reviewed within 30 days of the Districts notification to the requestor that the records are available for inspection or copying, in accordance with District procedure.

Fees are established in accordance with RCW 42.56 and District Procedure 4040P.

Records scanned into an electronic format or for the use of Districts equipment to scan the records

Electronic records transmitted using District equipment

$0.10 per gigabyte

Inspecting Public Records

Public records are available for inspection and copying during the District's normal business hours (excluding legal holidays):

Monday–Friday
7:30 a.m. – 4:00 p.m.

District offices are closed on holidays and other scheduled closures as identified on the District calendar.

Records must be inspected at the District Office unless other arrangements have been approved by the District.

During school breaks and periods of reduced staffing, appointments for records inspection may be limited. The District appreciates your patience and will continue to process requests in accordance with state law.
